What can an AI agent actually do for a small business?

"AI agent" is on every homepage right now, and most of it is hype. So here is the plain version, with no buzzwords: what an AI agent can realistically do for a small business today, what it cannot, and where it actually saves you time.

What an AI agent really is

A chatbot answers a question. An AI agent handles a whole task from start to finish: it reads an incoming message, understands what is being asked, looks up what it needs, and either completes the task or hands it to a person with everything prepared. The point is not a clever conversation, it is getting routine work done without someone doing it by hand.

What it can do today

Used on the right tasks, an AI agent reliably handles work like:

A real example. Agent Alex runs in production at Urbanix, our 500-door Montreal property company. It answers leasing inquiries, qualifies leads, and routes and classifies tenant tickets in English and French, every day, connected to Zoho Desk and Microsoft 365. It is a working deployment, not a demo.

It is not only a chat agent

The bigger win is AI inside your existing workflows, not a chat box on the side. Because we can connect models like ChatGPT and Claude as steps in an automation, the same technology can: send an AI-written reply the moment someone books, clean up and enhance listing photos, or read a message and file it correctly. If a task involves text, images or repetitive decisions, it can usually be assisted by AI.

What it cannot (and should not) do

Honesty matters more than hype here:

Where does the data go? (Law 25)

AI tools are third-party services, so for Quebec businesses this matters. We set the data-residency region where the tool allows it and tell you exactly which services touch your data, so you can make an informed call. We say "data residency," not "sovereignty," for tools we do not control, no overclaiming. Our Law 25 & data residency page goes into the details.

How to start

Do not try to "add AI" everywhere. Pick one task that is repetitive, high-volume and well-defined, such as first-reply to inquiries or ticket routing, and automate that. Measure the time saved, then expand. That is how Agent Alex grew at Urbanix, one workflow at a time.
