"How much does Microsoft 365 cost?" is one of the first questions from SMBs who want professional email and the Office tools. The honest answer: it depends on the plan you choose and who sets it up. Here are the real prices, what's included, and the total cost to plan for in Quebec.
The three Microsoft 365 Business plans
For an SMB, three plans cover almost every case. Here are Microsoft's reference prices, per user per month, with an annual commitment:
| Plan | Indicative price | Who it's for |
|---|---|---|
| Business Basic | ~ $8 / user / month | Pro email, Teams, SharePoint, OneDrive, Office on the web. No installed desktop apps. |
| Business Standard | ~ $17 / user / month | Everything in Basic + the installed Office apps (Word, Excel, Outlook, PowerPoint) on desktop and mobile. |
| Business Premium | ~ $30 / user / month | Everything in Standard + advanced security (device management, Defender, conditional access). |
Indicative Microsoft prices, in Canadian dollars, subject to change and promotions. Month-to-month billing with no commitment costs a bit more.
Which one for your SMB?
- Business Basic: a small team that mainly needs email and browser-based collaboration.
- Business Standard: the most common choice. You want Word, Excel and Outlook installed on your computers.
- Business Premium: sensitive data, compliance, or a fleet of devices to secure and manage remotely.
You can mix plans by role: Premium for leadership, Standard for the team, for example.
The license price is not the total cost
The classic mistake is to look only at the license price. The real budget has three parts:
- The licenses (the figures above), paid to Microsoft.
- The initial setup: email migration with no data loss, domain, security (SPF, DKIM, DMARC), accounts, SharePoint sharing. Done poorly, it costs you more in problems later.
- Ongoing management (optional): adding employees, access, backups, support.
What about Law 25?
Microsoft 365 is a third-party service. We set the data residency region where the tool allows it and tell you exactly which services touch your data, so you can make an informed call. We say "data residency," not "sovereignty," for a tool we do not control. Our Law 25 & data residency page goes into the details.
